You must let us know your preferences when you join the studio by filling out our parq/waiver form before joining.

If you choose to opt in to photos or videos, this section explains how your data is handled.

What we collect

If you consent, we may capture photos or video clips during sessions. These may include you as part of training, class environments, or general studio activity.

How your content is used

Your content may be used on:

  • Social media (such as Instagram)

  • Our website

  • Email communications

  • Studio marketing materials

We will only use your content for AW Wellness Studios and will never sell or share it with third parties for their own use.

How your data is stored

  • Content is captured using a designated work device only

  • Content is uploaded to secure, password-protected cloud storage

  • Access is limited to authorised team members only

  • Content is not stored on personal devices

How long we keep your data

  • Raw footage is kept for a short period (up to 30–90 days) and then deleted

  • Approved content* may be stored for a limited period (up to 24 months) and is reviewed regularly before removal

We do not keep content for longer than necessary.

Your control and rights

You are always in control of your data. 

  • You can choose not to be included at all

  • You can withdraw your consent at any time

  • If you choose to withdraw your consent, please email us outlining where your content has been used, including links where applicable. Once we receive this, we will take steps to stop using your content and remove it where possible.

Please note that content already shared on social media may have been viewed, saved or shared by others.

Filming in shared spaces

We take care to avoid capturing other members who have not consented. However, as sessions take place in a shared environment, there may be occasions where others appear incidentally in the background. In this case, you will be removed from the video. We ask for a reference photo to help us identify you in any captured content and ensure your preferences are respected. Without this, it may be more difficult for us to reliably recognise and exclude you from photos or videos.

Data security

We take reasonable steps to protect your data, including:

  • Password-protected systems

  • Restricted access

  • Regular review and deletion of stored content
